In this inspiring interview, Roseann shares her journey, challenges, and valuable insights for aspiring entrepreneurs.
The Inspiration Behind The Balloon Boss
SBS – What inspired you to start The Balloon Boss, and how did you identify the market need for your services?
Roseann – I was inspired to start my business when I saw the financial potential it offered. I identified the market by customer feedback. I always tried to think outside the box.
From Concept to Launch
SBS – Can you describe the journey from conceptualizing your business idea to launching your first event?
Roseann – My journey began with a series of challenges. I was widowed at the age of 43, the same year the company I worked for was closing. I opened a gift shop, but it couldn’t survive the crash of 2008. One of my clients, Gene, the GM for Calandra’s Restaurants, would often come to my store to order small items for the tables and decor for the restaurants. He noticed my struggles and asked if I’d be interested in decorating their New Year’s Eve parties at two of their restaurants.
Never one to shy away from a challenge, I accepted, even though I couldn’t even tie a balloon at that point, let alone create intricate designs. It took a lot of research. We didn’t have Instagram or other social media platforms back then, so I had to rely on pictures and reading to figure things out. Eventually, I became part of a wonderful balloon networking group, where I met amazing people who mentored me and helped me grow in the balloon industry.
I created a website, and the rest is history. I was even on a team that did one of the presidential conventions and helped decorate the White House for Halloween one year. These experiences have been incredibly rewarding and have significantly boosted my business.
Launching my first event was a mix of excitement and nerves. I meticulously planned every detail, from the design concepts to the logistics of setting up and taking down the decorations. The positive feedback from clients and guests was incredibly encouraging and validated all the hard work and effort I had put in. This initial success fueled my passion and confidence, leading to more opportunities and the growth of my business.
Standing Out in the Industry
SBS – How do you differentiate your balloon decoration services from competitors in the event planning industry?
Roseann – I believe what sets me apart from others is my old-school approach. I still answer the phone personally, take the time to truly understand my clients’ visions, and connect with them on a personal level.
Challenges Faced
SBS – What challenges did you face in sourcing high-quality materials, and how did you overcome them?
Roseann – Sourcing high-quality materials for balloon decorations can be challenging. During the pandemic, many suppliers faced disruptions, leading to delays and shortages. Ensuring consistent quality and managing costs were also significant hurdles. To overcome this, even though I had built strong relationships with reliable suppliers over the years, I had sought out other suppliers to help fill my orders. I also implemented strict quality control measures.
Managing Logistics
SBS – How do you manage the logistics of large-scale events, especially when dealing with intricate balloon installations?
Roseann – When handling large, intricate jobs, the first step I take is a thorough walkthrough, capturing several photos. I then assess my rigging points and check the entrances to ensure my materials can fit. I often collaborate with fellow artists to bring in diverse expertise. I’m meticulous about triple-checking my supplies and providing clients with an accurate mock-up for approval. Finally, I determine which tasks can be completed at my warehouse and what needs to be executed on-site.
Effective Marketing Strategies
SBS – What marketing strategies have been most effective in attracting new clients to your business?
Roseann – I am fortunate to have a high referral rate, with most of my clients coming through word of mouth. Additionally, I leverage social media platforms like Instagram and Facebook to engage with my audience and showcase our latest project.
I collaborate with a variety of event planners, which not only expands my network but also allows me to take on more diverse and larger-scale projects.
Building a Reliable Supplier Network
SBS – Can you discuss the importance of building a reliable supplier network and how it affects your service quality?
Roseann – This is such an important and great question! Reliable suppliers are crucial for the success of any business. They often go above and beyond to facilitate your orders. My main balloon distributor is Rainbow Balloons in Massachusetts. I’ve built a wonderful relationship with the owner and his amazing team. There have been times when I’ve received last-minute orders, and even though it was beyond their cut-off time, they accommodated me.
During the pandemic, while others struggled to get supplies, I was still receiving orders thanks to my strong relationship with my supplier. Similarly, during the helium shortage, I was prioritized because of the excellent rapport I had with my supplier. Developing good relationships with suppliers not only makes them more likely to accommodate special requests but can also lead to better terms and pricing.
Navigating Seasonal Demand
SBS – How do you handle seasonal fluctuations in demand, and what strategies do you employ to maintain steady business growth?
Roseann – I offer a range of services that cater to different events and seasons. For example, during the holiday season, I might focus on festive decorations, i.e. The Elf on the Shelf Delivery, while in the summer, I might target weddings and outdoor events.
I adjust my staffing levels based on demand. During peak seasons, I hire temporary staff to handle the increased workload, and during slower periods, I focus on training and development for my core team.
I carefully manage my inventory to ensure I have enough supplies during peak times and avoid overstocking during slower periods. This helps reduce costs and manage cash flow effectively. For example, I start buying extra helium in October to avoid a large invoice in December for New Years Eve.
I maintain my steady growth by building and maintaining strong relationships with clients. I donate gift certificates to local schools for their fundraising events. This helps get new clients. I ensure excellent customer service and follow up with clients after events to gather feedback and encourage repeat business. I maintain an active presence on social media platforms, showcasing my work and engaging with my audience. This helps with attracting new clients and keeps me engaged with old clients.
Essential Tools and Software
SBS – What technological tools or software have you found essential for streamlining your operations?
Roseann – I use Manager Sal to keep track of all my upcoming jobs. While I’m not the best at this part of the business and often wing it, it helps me stay organized. For meetings, I rely on Zoom, and I use Square for credit card processing. Canva is my go-to tool for creating mock-ups. I’m currently taking a course to explore its full potential, including creating social media posts, flyers, and videos.
Sustainability Practices
SBS – How do you ensure sustainability in your business practices, particularly concerning the environmental impact of balloon materials?
Roseann – I recycle materials and reuse decorations whenever feasible. For example, I repurpose balloon frames and structures for multiple events.
I plan meticulously to minimize waste, ensuring that I order only what is necessary for each event. Any leftover materials are stored properly for future use.
The Role of Partnerships
SBS – Can you discuss any partnerships or collaborations that have significantly contributed to your business success?
Roseann – I saw the biggest increase in my business when we were featured several times on The Real Housewives of New Jersey and our work was used as a backdrop for the MTV Awards in 2018. These high-visibility opportunities showcased our creativity and quality to a broader audience, leading to a surge in new clients and business growth. Unfortunately, I’ve signed non-competes and can’t discuss some very famous clients.
Advice for Aspiring Event Planners
SBS – What advice would you give to aspiring entrepreneurs looking to enter the event planning industry?
Roseann – My advice to aspiring entrepreneurs? Oh, where do I begin! I have so much to share. My first piece of advice to aspiring entrepreneurs is to take classes. This will not only provide valuable education but also help them build connections and friendships within this amazing industry.
They should make an effort to introduce themselves to the veterans in their area; many are more than willing to offer guidance and even pass along events they can’t accommodate. Additionally, always stay curious and open to learning. Network persistently, attend industry events, and don’t shy away from asking questions. Building a strong support system of mentors, peers, and industry experts is invaluable.
